100% Entry Audit

Allyn’s proprietary GTM software (CIMS™) offers industry leading solutions that facilitate maximized compliance and efficiency. One key solution is the Entry Audit Module, which offers an electronic comprehensive audit of all customs entries.

100% entry audit offers a way to increase compliance rates and greatly reduce risk. This industry best practice ensures the correct entry of all imports and promotes increased visibility and access to entry data and documents. The available documents and data improve operational capabilities and allow for trade data analysis on a strategic level.

Additionally, scorecards and dashboards are available for measuring broker and importer performance.

Setup Process

The first step in setting up the 100% electronic entry audit is the creation of detailed parts list (with HTS number, part description, country of origin, unit value, FTA, PGA, etc.). If a parts list is not already available Allyn can help with the creation, classification and formatting as needed. Once the parts list is completed it will be uploaded into CIMS™.

The next step is for Allyn to work with the customs brokers to secure an electronic data feed of the applicable entries. Take note that this can be done on a global basis, this is not a service offering limited to U.S. Imports or North America, as Allyn currently provides this service in North America, Europe, The Middle East, Africa and Asia.  

We are currently setup with many customs brokers and across a wide variety of ERP and TMS, so the setup process is not that lengthy of an undertaking.

The Audit Process

CIMS™ will audit the entries when new broker data is made available, the optimal outcome is for broker entry data to feed into our system daily. It’s important to receive the entry data promptly, as this will allow for entry corrections when possible.

Once entry data is processed by CIMS™ any exceptions, where the entry data differs from the parts list, will be looked at by a compliance expert. This expert will determine if the exception is indeed an error. We routinely see errors in HTS, TEV, Line Value, COO, COE, MID, Related Party, and FTA, but we can audit any other field that is available.

When an error is identified the broker will be notified and expected to correct the errors immediately if possible, or work with the importer to see that any post entry action is filed appropriately. In the U.S. this audit takes place prior to entry summary date so any corrections can be made by the customs broker.

Benefits

Importers can gain several impactful benefits for taking advantage of this system. They include but aren’t limited to the following:

  • Increased Compliance: 100% of customs entries will be audited. This will allow importers to demonstrate the highest level of reasonable care and will ensure that imports are declared correctly. Errors will be researched and resolved, allowing the importer to better understand what issues they are facing. Additionally, if the errors are a result of any deep systemic compliance issue this process will allow for the importer to proactively take the steps needed to fix the problem.
  • Increased Broker Performance: Allyn’s 100% entry audit program provides importers the advantage of measuring broker performance on a detailed level. Measuring brokers and reviewing their performance are two of the keys to a successful importer – broker relationship. A high performing broker usually means a high performing importer.
  • Recordkeeping:  One byproduct of using the Allyn Entry Audit Module is that the accompanying Recordkeeping capabilities. Your documents will be saved in our CIMS™ system and can be queried by any number of the data received on the customs entry. For example, entries can be searched by HTS, COO, Entry Date, Carrier, Broker or any other available field.
  • Data and Reporting: Per the above process, Allyn will be fed the entry data from the customs broker. The entry data will be housed in our system and will be readily available for importers. We can construct standardized reports, but also offer on demand and client configurable dashboards.
